Customize your athlete emails

Change the wording of the automated emails PodiumBase sends your athletes for your event.

What you can change

PodiumBase sends your athletes automated emails for your event, such as when their photos are ready or their finisher certificate is ready. You can rewrite the subject line and the body of these emails so they sound like your race instead of a generic default. Each email you have not customized keeps the standard PodiumBase wording, so you only change the ones you want to.

How to edit them

Open your event admin, go to the Emails tab, and pick the email you want to change. Edit the subject and body in plain language. To drop in details like the event name or the link to their photos, use the token buttons below each field: they insert a placeholder that PodiumBase fills in for each athlete when the email goes out. A live preview shows roughly what the athlete will see. Save when you are happy, and the new wording is used from then on.

What stays the same

The button and link that take an athlete to their photos or certificate are added by PodiumBase, so you cannot accidentally remove them or send a broken link. On the certificate email, the finish time and placement lines are also filled in automatically. You are editing the wording around those pieces, not the pieces themselves. A few required details, like the event name on the certificate note, are marked and kept in place so the email always makes sense.

If you leave a field blank

Any field you leave empty falls back to the standard PodiumBase wording shown as the placeholder text. So a blank template is not a broken one, it just uses the default. You can start by changing only the subject line and come back to the body later.
